5/19/2010 YVMEA SPRING MEETING

  1. Regional Updates

    • Scott Goranson moving to Washington Middle School
    • YVSD adding middle school choir program
    • ESD eliminating accompanist position
    • Posting for Elementary in Toppenish
    • All secondary schools are now performance-based (were general music)
    • Now have K-12 music
    • Matt Larsen at new 9th grade campus/beginning band in WVSD
    • WVSD has rearranged school system
    • AC Davis position open until 5/20/10
  2. Special Event Requests
    • Honors event? Previously opposite All-NW
    • Lost money last time (music/director/accompanist/etc)
    • Clock hours: emergency repair session
    • How to record/apply for All-state
    • Complaints against Audacity
    • SmartMusic recommended (mp3s/multiple takes/user friendly)
    • SmartMusic presentation for clock hours?
    • “How to run a soundboard” workshop
    • Megan Goranson going to check on cost, etc.
  3. Elementary schools break off
    Treasury Report – Maegan Ley
    • Hand out papers
    • Page 1: missing payments
    • Is going to email out invoices to those with money due
    • Page 2: report
    • List expenses/income already deposited
    • Small schools only even not earning profit or breaking even
    • Had more mileage than anticipated to pay for due to extreme circumstances
    • Ending balance at +$14, 727.26
    • Directors not turning things in on time
    • Discussed possible probation for payment delinquent schools
    • Things have not been happening as planned/supposed to
    • Need to keep tabs on PO’s/etc.
    • $4000.00 in outstanding payments as of today
    • Requests for possible help from other schools on unpaid balances
    • Possible change of policy, to pre-pay for attending events
    • Some schools/districts have policy stating opposite
  4. Contest Issues
    • Some people with issues on festivals
    • Options:
    • Discuss tonight at end of meeting (secondary only)
    • Discuss in September at separate meeting
    • Decided to table until end of meeting
    • Issues:
    • Sliding scale
    • Literature list/Music selection
    • Scoring
    • Philosophy
    • Student behavior
  5. Other Regional Concerns
    • Surplus: want to spend it on something to improve schools
    • Instrument repair, retreat, etc.
    • Solo/Ensemble
    • YVMEA not in the pilot group for new fees
    • Will be collecting money and selecting adjudicators
    • Currently ranked in HIGHEST fees for solos, LOWEST for ensembles
    • WIAA ruling that fees need to be equitable state-wide
    • Concerns about having the same adjudicators for multiple years
    • Not selecting certain schools
    • Specifically large brass ensemble/Chris Bruya
    • Possible request to pull all adjudicators from other regions
    • Will cost more money to hire
    • Size of day/event
    • Possible move to two separate days (HS/MS separate)
    • Too many entrants
    • Would cost $1100 extra to stretch to additional buildings at CWU
    • Also payments involved for tuning pianos between moves
    • Event has grown with CBPA requirements
    • Possible separate weekends? Middle school doesn’t have as many conflicts with sports/etc
    • Issues with finding facilities for multiple days (with same connections as CWU)
  6. Dates – Don May
    • Regional schedules passed out for:
    • Basketball
    • Football
    • Cross Country (all meets start at 4:30 pm)
    • Softball
    • Volleyball
    • Windfest (CWU) scheduled for March 3, 4, 5
    • 2011 HS band festival/large group contest:
    • Discussion on possible dates
    • Voted on three possible:
    • April 20
    • February 23
    • March 1
    • HS BAND FESTIVAL ON 3/1/2011
    • West Valley High School hosting (Ron Gerhardstein)
    • HS CHOIR FESTIVAL ON 3/2/2011
    • AC Davis High School hosting (Megan Goranson)
    • MS BAND FESTIVAL ON 4/13/2011
    • Highland MS hosting
    • MS CHOIR FESTIVAL ON 3/15/2011
    • East Valley MS hosting
    • SMALL SCHOOLS BAND/CHOIR FESTIVAL ON 3/8/2011
    • Host yet to be determined
    • Kittitas Valley beginning band festival on 5/9/2011
    • Central Washington 2nd Year festival - ?
  7. Treasurer Proposal
    • Suggested turning treasurer into a stipend position
    • Large job – too much work for free
    • Maegan willing to continue for stipend/promise of keeping personal tabs up to date
    • Motion for $500 stipend starting 2010-11 academic year
    • Motion by Ed Cunnington
    • Second by Jason Oestrander
    • Unanimous approval
  8. Regional Large Group Contest issues
    • Philosophy: What is ours? (in reference to sliding scales in band AND choir)
    • Suggested: let person organizing/hosting make decision
    • Motioned by Jeremy Freisz, second by Maegen Ley
    • Discussion: would still be questions to answer
    • Possibility of making a required list of literature to choose from
    • Select from list (separate lists for A, AA, AAA, AAAA)
    • Everyone plays at least one piece the same
    • Some have a problem with selecting music that far in advance
    • Need to play to the individual strengths of their groups at the time
    • Sliding scale for literature/scoring?
    • Suggest scoring based off of the school size vs. the pieces performed
    • Not enough difference
    • Need for an adjudicator willing to give out IIIs and IVs
    • Educational experience vs. “fun” or “rewarding” for students
    • Questions on level of critique in clinics
    • Compliments need to be 3 to 1
    • Needs to be evident that adjudicator listened and is making authentic compliments
    • Problem with small schools in selecting literature: varying ability levels within the group
    • Proposal to eliminate sliding scale in band and choir (Ed Cunnington)
    • Motion to table discussion to September (Don May)

    • Discuss orchestra festivals: leave decisions and planning to orchestra directors (not present at meeting)
  9. Conclusion
    • Kudos to Toppenish/White Swan for dedication program
    • Starting Yakima Valley summer band camp
    • Eisenhower High School
    • July 19-23
    • $30 registration fee
    • Two sessions based off of marching experience
    • Flyers handed out
    • Willing to also email .pdf files
    • Introduction of new YVMEA president for 2010-2012: Michael Brent
    • Request made to recruit more members to attend meetings
