HS Choral Contest went in the hole $500 (judges were expensive, as was mileage and hotel, plus banners were ordered for $25 each). It was suggested we need to align our professional practices so we pay consistent costs for all events (i.e. hotel, banners).


Other expenses included bringing Patty Bourne to the area to a workshop.


b. Contest Reports
1. John S. reported on MS Band Contest: things ran smoothly. There needs to be better organization of supplies, info, etc. for the hosts so that their job can be made easier. Having two gyms worked well. Thanks to West Valley and Naches for their help with equipment.


2. Scott G. reported on HS Band Contest: only one orchestra attended. Do we need to continue providing a string judge when so few orchestras attend? What can we do to get more schools to participate, or should they do their own thing? A suggestion was made that they might participate in the Columbia Basin contest. In any case, hosts need to know well enough in advance so they can know if a string judge is needed for the event. The judges for this event were great and gave great clinics. A question was asked regarding the sliding scores for small schools. The same form was used for all groups, but a sliding scale was used to decide on the scores given.


c. State Board Report:
John S. is now a voting member. There will be a meeting next month in Renton to "pass the torch". Some goals include to reduce the cost of All-State. Seven ensembles participated at All-State. Everything went well. The Small Schools group was well received. They are thinking of adding a MS Honor Band in the future.


III, Old Business

a. Banners: Don has an important meeting in Ellensburg tonight and so is not here to report on banners. We still need HS choir banners from last year, but there is no record of scores. HS choir banners have already been ordered for this year. Other banners are pending.


b. Other: There will be three ensembles performing next year for Arts Time: choir, band & orchestra. There will also be the All-State groups.


IV. New Business


a. West Valley is bringing Ron Carter from N. Illinois to present a clinic costing approx. $5000. He has invited any other directors to bring their students to this open and free clinic next Tuesday. Ron G. made a motion to have YVMEA donate $400 to help cover the costs of the event.
Bart seconded the motion. The motion passed. There was a suggestion that in future, such a request might be made further in advance.


b. Rich made a proposal regarding Solo & Ensemble Contest. There were 332 entries @ $15.00 and we made a profit of $1552.24. Since we made such a huge profit, should we consider either lowering the registration fees or pay CWU's MENC group, judges. host, etc. more? After discussion, Rich made a motion that the Solo & Ensemble host's stipend be raised to $200; and that all other contest/festival hosts' stipends be raised to $100, payable once all paperwork and fees are turned in. Jim seconded the motion. The motion passed.


c. Contest/Host Practices
It was discussed that host responsibilities and practices be spelled out and more uniformly used. This information needs to be communicated effectively to hosts. It was discussed that there used to be "a book" with this information in it. Megan will try to track it down. Rich volunteered to look through the information available and come up with a proposal to present to the group at our next meeting. It was also noted that late registrations are still a problem as well as some directors not turning in their fees on time.


d. Contest/Festival Name
There was a discussion on the pros and cons of the naming the events "contest" or "festival". Rich made the argument that our Contests are not really contest because there is not a 1st place, 2nd place, etc. and there are not trophies given. Rich moved to have the name changed to Festival, except for Solo & Ensemble Contest, since it really is a competition. John seconded the motion. After much discussion regarding the name "festival", "assessment and "Adjudication" a vote was taken once by voice and secondly by a show of hands and the motion failed.
Next there was a motion made by Roger and seconded by Rich, to change the name of "contest" to "adjudication" except for Solo/ Ensemble Contest and Small School Festival. A vote was taken and the motion passed.


e. Other
Bart discussed the need to train someone to pursue an on-line registration capability. He made a motion to set aside a maximum of $500 to train himself to pursue on-line registration for Solo & Ensemble contest and other adjudications.
There was discussion that monies should also be available for fall workshops. We also need to look into applying for grants for these events. Roger pointed out that there are quidelines for using grants to pay for these events and that we need to look into them.


f. Scheduling Contest and Regional Events

  1. Honor band & choir (held biannually): No host yet. Megan said Lewis & Clark might be available and that she would be willing to host the event if no one else volunteered. This event will be held November 4, 2004. There was discussion regarding whether directors wanted to participate in this event. It seemed choral directors were more interested than band directors. (Band directors have just finished marching season and are already busy.) Scott will survey other directors to detect the interest levels of other band and choral directors. He will also check on other possible hosts and possibly a larger hosting facility.
  2. HS Intrumental Adjudication
    Scott G. will host this again at Davis H.S. on Tuesday, March 15, 2005.
  3. HS Choral Adjudication
    Set for Thursday, April 14. Jim S. suggested Sunnyside even though they will have a new director next year. He will try to get the date on the calendar. Roger said he might be available to run it. It was also suggested that Greg could possibly help as well.
  4. JH Instrumental Adjudication
    John S. volunteered to host this again at Highland on Thursday, March 17, 2005. Ron volunteered to help out.
  5. Small Schools Festival will be held Monday, March 21 at Riverview HS in Finley with host Robin Gayle.
  6. MS Choir will be hosted by Ron at West Valley Jr. High on Thursday, May 5, 2005.
  7. Solo & Ensemble Contest will be hosted by Bart at CWU on February 5, 2005.
  8. YVMEA meetings for the 2004-05 school year are as follows:
    Fall Tuesday, September 7, 2004: board 5:15 p.m.; general 6:00 p.m.
