Here
are the "short" exec
minutes from tonight 1/14:
• there is a balance of $5069 + change in the bank account;
• we discussed dividing up the members phone numbers and have board members
call them in the event of a cancellation or other changes
• There is still no host for the MS Choir Contest. Megan and Ron have volunteered
to host it if there are no other volunteers, but prefer not to host. Don
suggested calling Tom Kadie at Morgan M.S. to see if he would be the host.

I. Call to Order
II. Reports:
A. Treasurer's report: we currently have over $5000 and expect another $1500 from the WIAA soon;
B. State board met this weekend. John S. reported that they worked on plans for the conference next month. There will be 7 All-State groups and 896 students participating. They are also organizing a student fund to help bring down the cost of participating in All-State thru donations.
III. Old Business
A. There is no M.S. choir host for contest. Please encourage people to volunteer. Megan and Ron have offered if no one else volunteers, but they really do not want to host!
B. Banners will be ordered for last year.
1. We have the scores from Band contest but are not yet able to locate the Choir scores. Help!
2. Don suggested that in the future scores be sent to the secretary so there is a record.
3. John Oord suggested that the banners be mailed by YVMEA rather than delivered by Ted Brown reps. It was also suggested the banners could be passed out at the spring meetings.
C. The recipient for "Friend of Music" this year is Peggy Gries for her work with strings; The "Educator of the Year" is Doug Kilgore. Award presentation will be on Saturday during the conference.
IV. New Business
A. Inservice:
1. January 31, 9 a.m.–noon Patty Bourne will be presenting in Megan's room at Lewis & Clark. Michael needs to know who is coming ASAP. Please push this with the elem. music specialists that you know. If you need to get more info contact Michael Grant (or Megan). RSVP by emailing Megan.
2. Don will create a link on the website for people to make suggestions for other service.
B. Solo & Ensemble: Bart reported that he has been accepting late applications because of weather/school closures last week. Tomorrow, 1/15/04, is the last day he will take applications. Scheduling will be done this weekend.
1. Next year there will be on-line registration eliminating the need for forms;
2. Bart shared pictures of his new granddaughter;
3. Bart discussed the need for all instructors to include completed Master Lists. When information is left of the forms it creates problems for the event organizers.
4. Sue Connelly is doing the scheduling for the last time this year. Marti Grimm (Secretary at East Valley) has been recruited to do it next year. Bart suggested we pay Marti $100 + mileage to travel to Ellensburg to spend a half day with Sue learning the intricacies of the scheduling process. Bart made a motion to accept this proposal, Ron seconded and the vote passed.
5. There was also discussion about us making a donation to the music students at CWU for their efforts to set up for the event. It was decided that it had been decided at a previous meeting that this should be done for each Solo & Ensemble event.
C. Arts Time is asking for suggestions for sessions. Send your suggestions to Megan so she can forward them to the board. If we don't make suggestions, they will decide on sessions for us!
D. January 20th is the deadline for news for "Voice" please forward any news you would like included to Megan asap.
E. Megan is asking that everyone send her their phone numbers so that we can create a phone tree in case of future meeting cancellations due to weather.
V. For the good of the order:
A. John Oord had some questions regarding the Small Schools Festival which will be held in Trout Lake by Jeff Agar this year.
B. Second Year (6th grade) band Festival will held April 19 this year. Contact John for more info.
C. John Straehle said that collegiate members would like to attend our next meeting.
